Associate Director of Education Services

Reports to: Vice President of Music Education   

Position Summary: 
The Associate Director of Education Services will play a crucial role in ensuring the smooth and efficient operation of our music education programs. This position involves overseeing the administrative and operational aspects of the Education Department, including CRM and enrollment systems management, coordinating with the Operations Team on campus activities, supervising Student Services, managing the launch of course catalogs, and maintaining the master calendar of events. The ideal candidate will be highly organized, detail-oriented, and possess excellent communication and leadership skills.

Duties and Responsibilities (including but not limited to):

Online Catalog Management

  • As the primary project lead, collaborate with faculty, education, and student services on two major catalog launches each year, including class creation and pricing.
  • Serve as the point of contact for catalog corrections and updates, coordinating with faculty and staff to ensure accurate and comprehensive course listings.
  • Track enrollment and revenue, working with Student Services to provide accurate reporting.

Supervision of Student Services

  • Oversee the functions of the Student Services team, which manages all aspects of student registration, enrollment, payment, course catalog, and faculty/Ed Team support; provide guidance and support as needed.
  • Develop and implement policies and procedures to enhance student services.
  • Address student inquiries and concerns in a timely and professional manner.
  • With other members of the Student Services and Education Teams, support the New Student Placement process and payroll submission for faculty.

Enrollment Systems and CRM Management

  • Oversee the use and maintenance of the enrollment and Customer Relationship Management (CRM) system(s).
  • Ensure accurate and up-to-date student records and communication logs.
  • With other members of the Student Services Team, serve as System Administrator for registration software and point of contact.
  • Serve as Project Manager for the CRM transition and implementation.

Operations Coordination

  • Act as the primary point of contact for the Operations Team regarding campus activities and room reservations.
  • Collaborate with the Operations Team to:
    • optimize room utilization and address scheduling conflicts.
    • ensure that all logistical needs for classes and events are met.
    • ensure accurate and timely attendance records.

Calendar Maintenance

  • Create and maintain a master calendar, ensuring that all events, classes, and deadlines are accurately recorded.
  • Communicate important dates and changes to relevant staff and students.

Other Responsibilities

  • Oversee Levine’s library and manage part-time library staff.
  • Coordinate with Education Team and Chairs on the use of educational technology and applications.
  • Represent the Education Department in meetings and on committees as required.
  • Contribute to marketing and promotional efforts for educational programs.

Qualifications:

  • Bachelor’s degree required.
  • Minimum of 5 years of experience in education, administration, office management, or a similar role.
  • Proficiency in CRM software and other relevant technology is highly desirable.
  • Excellent organizational and project management experience.
  • Strong communication and interpersonal abilities.

Salary range: $60,000-65,000
